Your first timetable in 8 steps

This is the whole job from start to finish. Do the steps in order the first time. Each step uses one item from the menu on the left, highlighted in the picture with its step number.

Set up your data

Video 2 1:39

Academic Structure

This is where your institution is described: campuses, buildings, faculties, departments, programs, the academic calendar and groups of students.

Video 3 1:32

Rooms & Labs

The timetable can only use rooms you add here. The software checks that each room is big enough and has the right equipment.

Video 4 1:22

Instructors (teachers)

Add every teacher, how much they may teach, and when they are available.

Video 5 1:32

Courses

A course is a subject, such as Accounting Principles. Each course has one or more parts (lectures, labs, tutorials) that are scheduled every week.

Video 6 1:20

Semester Classes

A class is one part of a course taught to one group of students this semester, for example ACC111 Lecture for Bachelor of Accounting Year 1.

Video 7 1:15

Time Structure

Decide which days you teach, when the day starts and ends, how long periods are, and when the breaks are.

Video 8 1:05

Constraints & Rules

Rules tell the generator what must happen and what you would prefer. For example: no classes on Friday afternoon, or Lecture before Tutorial.

Video 9 2:26

Import data from Excel

Already have your courses, teachers or rooms in a spreadsheet? Import them instead of typing them in.

Build the timetable

Video 10 1:57

Generate the timetable

The generator places every class at a time and in a room without clashes, then improves the result so teachers and students get sensible days.

Video 11 2:20

Manual Scheduler — move classes yourself

See the timetable as a weekly grid and drag classes to new times. Every move is checked straight away.

Video 12 1:28

Conflict Centre — fix problems

A conflict is a problem in the timetable, such as a teacher in two places at once. This screen lists every problem and helps you fix it.

Video 13 1:29

Timetables & Versions — approve and publish

Every timetable keeps all of its versions. A version moves from Draft to Under Review to Approved to Published.

Video 14 1:13

Timetable Views — see any timetable

Show the timetable for any student group, teacher, room, course, department or the whole institution.

Video 15 0:59

Room Finder — find a free room

Need a room for a meeting or an extra class? Find rooms that are free at a certain time.

Video 16 0:53

What-If Simulation

Try a change, such as more students or a room being closed, in a safe copy. The real timetable is never changed.

Reports & printing

Video 17 1:24

Reports Centre — print and export

38 ready-made reports: timetables for students, teachers and rooms, week-at-a-glance calendars for each teacher and class, workloads, room use, conflicts and more.

Administration

Video 18 1:12

Backup & Restore — keep your data safe

A backup is a copy of all your timetable data in one file. Make one before big changes, and keep copies somewhere safe.

Video 19 0:48

Users & Roles

Give each person their own account and decide what they are allowed to do.

Video 20 0:51

Settings

Change how the software works. The recommended options are already chosen, so most people never need to change them.
